The UT Soil, Plant, & Pest Center Administrative Support Assistant II is directly responsible to the Laboratory Director.
Duties include:
Perform administrative assistant duties for staff and clientele that meet the needs of all eligible clientele regardless of race, color, national origin, age, sex, disability, region, or veteran status.
Maintain proficient and efficient use of computer programs: Microsoft Office (Word, Excel, Outlook, and PowerPoint), SharePoint, Quicken, IRIS, SUPER, online receipting, online laboratory information management software, Windows Explorer, and Chrome.
Serve as the initial contact person for clientele through email, phone calls, and walk-ins. Direct clientele to appropriate people or resources.
Enter sample information into online laboratory information management software and Excel. Ensure samples are reported and mailed.
Maintain lab records of lab sheets, results, and submission sheets.
Maintain financial records, create receipts, make bank deposits, and drive deposits to the bank.
Perform bookkeeping duties in the collection and management of user fees.
Follow up with clients whose information, payment, or sample is incomplete. Communicate the status of samples with other Center staff.
Prepare letters and other related documents. Proofread completed documents, make corrections and format with proper branding logos.
Order, manage & inventory office supplies and supporting materials for the center.
Maintain all office files related to the center.
Keep a neat, and organized sample receiving room.
Maintain website, lab and office calendar.
Prepare monthly mileage reports and process travel and expense reports for staff members.
Have a working knowledge of Extension procedures and stay updated on all Extension Policy and Procedures and other resources.
Assume other duties as assigned.
Qualifications Minimum/Required Qualifications:
Must have a high school diploma, or equivalent.
Skills and Abilities: Superior communication skills (written & verbal) and organizational skills, ability to work with the public, be a team player, and a self-starter.
Be able to multi-task.
Proficient in Microsoft Office (Word, Excel & PowerPoint), Quicken, and social media.
Must have a valid driver’s license.
Must be reliable and punctual.
Preferred/Desired Qualifications:
Additional education beyond the high school diploma preferred.
Three or more years of office experience preferred.
Superior customer service skills with strong verbal and communication skills.
Experience with SharePoint and updates/editing web sites.
Experience with electronic web-based communication systems and database systems.
